The Management Committee of Bury St. Edmunds Basketball Club hereby gives notice of the 2021 AGM.



Due to the logistics of getting everyone together, the meeting will take place online through Zoom. An invitation will be sent to all members via the Spond App.


The meeting will take place at 16:00 on 22nd August 2021.


The Agenda is as follows:


  1. Open

  2. Questions Arising from Officers Reports (which will be circulated prior to the AGM)

  3. Appointment of Management Committee for the 2021/22 Season: - Chairman - Vice Chair (Club Service) - Vice Chair (Club Business) - Secretary - Welfare Officer Please note that all other roles are appointed by the Management Committee/Appropriate Officers following the AGM.

  4. Any other proposed business (Please note that any business proposed for discussion must be received in writing to the Club Secretary no later than 14 days prior to the AGM - Midday on Sunday 8th August).

  5. Any proposed amendments to the Constitution (Please note that any business proposed for discussion must be received in writing to the Club Secretary no later than 7 days prior to the AGM - Midday on Sunday 15th August).

  6. Close

Please note that if you wish to apply for any of the roles in the committee, the club should be aware of this at least 14 days prior to the AGM. This includes appointed roles (such as Head Coach for the club, Team Coaches, Team Managers, etc.).


At this time, due to incumbent volunteers stepping-down, we are aware that we require volunteers in the following roles for the 2021/22 season:

- Club Secretary*

- Publicity Officer (Website Management)

- Publicity Officer (Social Media Scheduling)

- Team Manager x 2 - All Girls

- Team Manager x 1 U18 Men

- Assistant Coach - All Girls


Role Profiles for all committee positions are available here. Please note that only roles marked with * are appointed at the AGM by the club membership, all other roles are appointed by the Management Committee.


We would ask that any applications for these roles are received in writing to the Club Secretary no later than 14 days prior to the AGM.



FAQ's:


Will there be AOB discussed?

As this is an AGM, there is no "AOB". If you have a matter for discussion, please inform the Club Secretary in writing at least 14 days prior to the AGM. If it is not received in this time, it will be brought to the appropriate committee following the AGM.


When are fees agreed? The provisional fees for the season have been set by the incumbent Management Committee ahead of the AGM, though these have to be agreed by the new Management Committee for the season ahead. As such, there is a Management Committee Meeting immediately following the AGM, in which fees will be confirmed, and this information will be shared with the club members no later than 14 days after the AGM.


What happens if a volunteer does not step forwards for a role?

The answer to this will depend on the role... What's important to note is that the Management Committee have the right to appoint people to vacant roles, and to look at all appropriate options open to do so.

In the event that this is a major role, the club may be unable to function without a volunteer coming forwards, or a significant change in approach (as was the case previously, when the "Treasurer" role was outsourced to Gascoyne Accountants). Where the role specifically relates to the running of a team at the club, and we cannot find sufficient suitable volunteers to allow the team to run in a safe and organised manner, the Management Committee may be forced to take the decision to no longer run that team.


I've not volunteered in a role like this before - what does it entail?
